1. Are there changes to the system this year?
Yes. We NO LONGER SUPPORT THE DIAL IN OPTION TO OUR SYSTEM. We had planned to continue it for part of this year but the cost and technical requirements of maintaining were insurmountable.
2. How do I use this system to post changes to our organizations status that are not on your pre defined list?
Use the custom status message at the bottom of the screen. Brevity is important. A few essential phrases! NOTE: you must change your daily status at the top of the page from something other than NORMAL. Normal assumes there are no changes in your daily operation. You may choose to be OPEN, CLOSED or DELAYED. That will give you access to the custom status message. There is also a web page only message area that permits you to type more words.
3. I need to change the names of the people who are listed as in charge of our account. What do I do?
Login and edit your record as needed. You can change anything except the name of the organization.
4. Can I change the name of my organization?
No. Only we can do that. Write to us.
5. Why is my account missing? I had one and it now seems to be gone.
Did you move? We have about 2,000 organizations to try and keep track of in our database. This year about 100 letters that we sent out came back to us as unable to deliver. We try and find a new address but when we cannot we delete your account. You will need to reapply. PLEASE NOTE: this is not the same problem as "I am unable to login with my credentials." If you received a letter from us and you are having trouble logging into the system please see the FAQ about that. DO NOT apply for a new account when you are having trouble logging into the system.
6. Is there a deadline to apply for membership to the School Closings Network.
No You may apply at any time. Applications received after September 1st are reviewed as time permits. Asking before September insures we will have your account ready before the weather gets bad.
7. I applied for membership several months ago. When will I know if my membership is accepted?
During the month of August we review all pending applications from the previous year. Once the review is completed we work on our annual mailing. If you did not receive mail with information about how to access the system your application was rejected. The 2018 mailing will go to the post office beginning September 19th. see above.
8. Do I need to renew my membership each year?
No. Your membership in SCN lasts until you suspend it or discontinue it. Businesses must pay their annual fee, but no organization needs to apply for membership each year. Only organizations without memberships must apply.
9. I cannot login. I am sure my user id and password are typed correctly.

10. What time do closings get removed from the page?
9 PM each day
11. How many days can in advance csn I post a closing?
You may post a closing for today or tomorrow but no further in advance.
12. Will my business closing be shown on TV? How does the information get used? Can you tell me specifically how material is used by the media?

This is one of our most frequently asked question this time of year.

Here's a summary.

EVERY media partner uses ALL of the data on their web site. Some sort it into categories, but it's all there. On TV here's how it is handled:

  • · Spectrum Local News: Shows everything.
  • · WNYT TV: Shows Schools, Universities, pre-schools, trade schools, daycares.
  • · WRGB TV: shows everything from all counties and all types except businesses between 5am and 9am weekdays (Mon-Fri). The same information is also displayed on WCWN channel 45.
  • · WTEN: Shows Schools, Universities, pre-schools, trade schools, daycares and churches ONLY and nothing else. WTEN does not show business closings but uses them on the web site.
  • · WXXA: Shows Schools, Universities, pre-schools, trade schools, daycares and churches ONLY and nothing else. WXXA does not show business closings but uses them on the web site.
  • · Radio Stations: In general the radio stations use Schools, Universities, pre-schools, trade schools, daycares and then refer listeners to their web sites for more information. Some radio stations ONLY refer you to their web sites.
  • Newspapers: The newspapers use all the information on their web sites.
  • 13. Why doesn't every media organization that is part of The School Closings Network show or announce or publish my closing or delay?
    Each media entity is free to determine how it wishes to use the data. The School Closings Network computer provides the same data to all the media participants. No media partner is required to use any information supplied to them by this database. The decision on how and when to use it is theirs. The School Closings Network is a non profit media cooperative designed to centralize the collection of this type of information but there are no policies dictated to the media partners on how and when to display the information.
    14. I run a business and applied for membership many weeks ago but have not received any word on the status of our application. When will I learn about it?
    Businesses that might get membership serve large numbers of young people or adults in a scheduled manner. For example, gymnastics or dance schools are elligible. Retail businesses that sell products are NOT elligible for membership. Large shopping centers may be considered for membership. Large Health organizations will also be considered for membership as well as some banks or credit unions. The fee for businesses that wish to participate is $50 annually.

    Some of the broadcast members of the cooperative do not display business listings on TV. Some of them hold the display back until after 8:30 AM. All media members display all closings on their web sites. The School Closings Network does not set policy for what data must be used and in what fashion.

    15. Will Churches be displayed on TV or Cable TV?
    Usually. It will vary by day. Generally, church activity is concentrated on weekends and it does not impact School Closings. In most cases church cancellations or delays will be displayed on weekends and ALWAYS on the internet. Church acitivites that are delayed or postponed on weekday mornings may be held for display until after 8:30 or 9 AM. In our opinion, this should not significantly impact most churches.
    16. My business manager wants a W-9 from you before we can send a check. Will you send one to us?
    Yes. If you need a W-9 please send an e-mail to info@schoolclosingsnetwork.com. Make sure to include your name, your company's name, your address, city, state, zip code and your phone number. Your W-9 will be forwarded in about a week.
    17. Are the codes the same every year?
    Unless you request a change to your codes they are the same every year.
    18. I used to have a listing. Now I am informed it no longer exists. I thought you keep listings forever. What gives?
    We do keep your listing, unless the mail we send to you comes back from the Post Office with the words "NO SUCH ADDRESS" or "UNABLE TO DELIVER" or "FORWARDING ORDER EXPIRED." You are responsible for keeping your mailing address current in our database. If you move and you fail to update the address your information will be removed from our system. You may re-apply for membership, subject to our rules. See other frequently asked questions regarding our annual "membership period."
    19. What is considered a business?
    An exercise establishment, weight loss program, dance studio and / or gymnastics studio are businesses. Churches are NOT businesses. Schools, pre-schools, private schools, universities, technical schools and day cares are NOT businesses.
    20. It's snowing. I do not belong to the School Closings Network. Can I apply today and get it announced?
    You can apply for membership, on line, at any time. However, we review all applications received, annually, during the month of AUGUST ONLY. The review period for 2010 is complete. Applications received now will be processed next August. Once the review is completed new applications wait until the following year. NO SAME DAY APPLICATIONS ARE EVER ACCEPTED AND WE NEVER ACCEPT ANY NEW ORGANIZATIONS DURING A WEATHER EVENT. Your organization will not be included in our list until next year.
    21. What is the best way to reach someone because I have a question not answered here?
    The fastest and easiest way to reach us is to write infoatSchoolclosingsnetwork.com. Replace the word at with @. If I type it out the spam robots will start sending us garbage email. Calling the phone number listed above is NOT going to get a quick response. More people have access to the email than to the voice mail and we see the email faster too. Generally we reply to email within a couple of hours. Voice mail can take a couple of weeks primarily because your schedule and ours may not mesh up.
    22. What is a school?
    For our purposes a school is a public or private school, a pre school, a day care, a college, university or certain technical schools. Certain transportation segments are treated as "schools" if they transport children to schools. As a convenience to the viewers health and human sevice organizations will be displayed by most media partners although the display may be held until after 8:30 or 9 AM on a busy school closing morning.
    23. Why are businesses being charged $50 to get access?
    The system is primarily designed for schools. We have over 1000 schools, day cares, after schools, human services and other non profit organizations that care for children in our database and they are our primary focus. We want to regulate private business organizations that feel they need access. The fee should help to discourage businesses that do not really need this access. The fee also offsets the cost of maintaining the business in our database. Here is a partial list of those entities that we will charge the fee: Exercise studios, weight loss programs, dance studios. No School, College, University, pre-school, day care or Charter School is charged the fee.
    24. Are all the displays, reading and web sites the same?
    No. Each organization will maintain its own unique display, web publishing or reading procedures. The information will all come from the same database. Graphic styles will remain unique.
    25. How do you determine who gets access to the School Closings Network?
    This system is made PRIMARILY for Schools, after-school programs and daycare centers. We also permit access to health and human service organizations. We do not grant access to organizations which provide service to an individual household. We make a decision within our group as to whether or not it is more efficient for you to call all of those affected by using a "phone tree" or whether our system is the best method. We do not take into consideration whether or not our system is "easier" for you. Our primary goal is to notify the largest number of viewers, readers and listeners about interuptions of their normal schedules as quickly as possible. NOT EVERY ORGANIZATION WHICH ASKS FOR ACCESS WILL BE GRANTED ACCESS. Remember, schools, after-schools and daycares are the primary focus. Anything which compromises that purpose is secondary to this system.
    26. Is every media organization part of The School Closings Network?
    No. But most are. The organizations shown on the below are part of SCN. Not every radio group is participating. We cannot speak for their plans.
    27. If I call the number shown on the web site can I leave closing information there?
    No. Only the number shown on the instructions or entry via the web site is acceptable. The 641-7880 number is for business questions and is only answered during regular business hours. Do not leave school closings on the 641-7880 number. We do not check it for that purpose. If you need an immediate response during a closing event you can record a message in the computer system (the number specified in your instructions) and ask for someone to call you. This system is checked frequently during the day.
    28. Can I change the information for my organization after I have entered something?
    Yes. You can change it at anytime to anything.
    29. If I use the phone once do I have to use it all the time?
    No. You can switch back and forth between the internet and phone at anytime, even on the same day.
    30. I try printing my phone guide but nothing happens.
    First, you must have Adobe Acrobat Reader installed on your computer. If you do not you can download a free copy from http://www.adobe.com/products/acrobat/readstep2.html Second, you must disable your pop up blocker in order for the form to appear.
    31. What if I have something special to report in addition to closing or delaying? Should I close and delay first and then leave a message?
    Yes. Always do what you are able to do through the automated system first. Then record or type your special messages.
    32. Do I need to contact each media organization individually anymore?
    No. One contact takes care of everyone on the list you see below. Please use the instructions you have been provided and either use the automated phone system or the internet to enter your information.
    33. Your phone guide and web site have many choices but you can’t anticipate everything. What if I have a situation that is not handled by the choices?
    After you close or delay your organization and select the other options you might need (if any) push zero on your phone and you will be able to leave a voice message that we can hear. If you are using the internet to enter information there is a section where you can type free form. See the phone guide.
    34. What is the School Closings Network. Is it a business?
    No. It is not a business. It is not a profit making operation. It is a news cooperative. The news organizations listed at the bottom of the web page created this entity to collect school closings information efficiently. They collectively share the expense of operating the cooperative. The cooperative does not dictate policy to the news organizations on how to use the information it gathers. They may or may not use any of it or parts of it. They use it in the manner they deem best serves their audience. The fee we charge businesses does two things. It actually is designed to discourage all but the most needy businesses from participating. It's called the School Closings Network and it exists primarily to serve the needs of schools. The fee helps to offset the costs of operating the cooperative, primarily the expenses incurred in permitting business access. There is no surplus or profit at the end of our operating year. There is always cost which is divided up among the membership.
    35. Where is the mailing for this year?
    The mailing for 2018 will go out in late September. Your codes do not change unless you request a change. Your membership continues unless you ask us to discontinue it. You may print instructions yourself at anytime using our web site. We are working on the mailing right now (9/16/2018)
    36. Why can’t I change any of the options when the organization status is “Normal?”
    To us normal means that there is no change to your regular operating procedures. You can change your status from “Normal” to “Open” and make necessary changes to cancel specific activities. DO NOT CLOSE YOUR ORGANIZATION UNLESS YOU INTEND TO FULLY CLOSE. However, if you leave your status as NORMAL you won’t be able to make any changes to status.
    37. Should I refer students or members of my organization to this web site to view closing information.
    No. No. No. This site is only for entering delay or closing information. People who want to know what is closed or delayed should watch TV, listen to radio or go to the web sites.
    38. I am entering information for today but it saves and reports it for tomorrow. Why is that happening?
    After 3 PM our system default changes and assumes that information being entered at that point is for the next day. If it is not, you have the option of changing the date for which it applies on the phone or using the internet.
